Event coverage is a logistics problem wearing a tuxedo: one photographer, one evening, a program that will not pause for you. This assignment covered a YPO chapter gathering at a Guangzhou jewellery showroom, and the brief asked for two products at once: candid atmosphere that makes the evening feel worth attending, and formal group portraits the sponsors can publish. Both were planned before the first guest arrived and delivered under a full commercial license.

Photography Challenges
1. Showroom light is beautiful and disobedient. Warm cove LEDs, spotlighted vitrines and marble bounce every color temperature into one room. White balance is set for the faces, flash fill is gelled to the ambient, and angles are chosen so the glow stays atmosphere instead of a color cast.
2. Glass cases steal frames. The showroom's display vitrines reflect everything, including the photographer. Camera positions are picked so the glass works as foreground depth rather than a mirror, and reflections are checked at capture, not in post.
3. Group portraits happen on event time. The formal lineup gets a three-minute window between program items. The backdrop position and light are pre-set during the walkthrough, guests are arranged tallest-to-center on the first call, and the frame is done before the emcee finishes the introduction.
4. Candids fail the moment they are directed. The workshop bench coverage is shot documentary style at available light with a silent shutter, so guests keep working with the jewellery instead of performing for the camera.
Our Approach
The pre-event walkthrough.
Before doors, the showroom is scouted: the branded wall, the step-and-repeat backdrop and the VIP lounge are picked as the three portrait positions, and exposure is planned against the warm ambient for each.
The formal frames.
Frames 4 and 5 are the sponsor frames: the full lineup under the glowing brand wall, then the classic step-and-repeat group at the event backdrop, flash fill balanced so faces and branding both read.
The documentary coverage.
Frames 1, 2 and 3 cover the evening as it happened: showroom groups with signature drinks, the wide counter lineup, and candid frames at the workshop benches where guests tried the jeweller's bench themselves.
The VIP lounge closer.
Frame 6 moves the core group into the wood-panelled lounge for a two-row seated-and-standing portrait in warm sconce light, the frame that ends up in the chapter's yearbook.
"An event photographer works on borrowed minutes. Scout the light before the guests arrive, and the group portrait takes three minutes, not thirty." — Garbo, Director of Photography

Frequently Asked Questions
How is corporate event photography billed?
Event coverage starts from $800/day per photography team, with hours, guest count and delivery scope driving the final per-project quote. Send your run-of-show for a written estimate.
Can one photographer cover both candids and formal groups?
Yes, when the evening is planned. Portrait positions and lighting are set during the pre-event walkthrough, so candid coverage only pauses for the two or three minutes a formal lineup needs.
How do you work around the event program?
Coverage is timed to the run-of-show. Formal groups are pulled in short windows between program items, and documentary coverage runs silently through dinner, workshops and speeches.
How fast do we get the photos?
The edited select is delivered in 5-7 business days. A same-night highlight set for social media can be arranged when booking, since rush delivery is available.
Can we publish the photos in our own marketing?
Yes. Every delivery includes a full commercial license covering your website, social channels, sponsor reports and press use.
